When you book a journey with Chapi Tours, you’re not just reserving a tour—you’re placing your trust in a local Vietnamese team that values honesty, protection, and peace of mind. Our booking terms are designed to be simple, transparent, and traveller-friendly, so you always know exactly what to expect.
Whether you’re planning months ahead or confirming last minute, we’re here to make the process smooth, secure, and stress-free.
1. How Your Booking is Confirmed
Your tour is officially confirmed when:
✅ You pay a small deposit, and
✅ You receive written confirmation from our team
From that moment on, your place is secured, and your price is protected. No surprises, no hidden conditions.
2. Deposit & Payment Terms
Deposit Amount
A small deposit (usually between 10–30%, depending on the tour) is required to secure your booking.
Flexible Balance Payment
You may choose:
✅ Pay the remaining balance before arrival
✅ Pay on your first tour day (for eligible tours)
We offer multiple payment options:
- Credit or debit card
- Bank transfer
- Wise
- Cash on arrival (selected tours only)
Our goal: make payment easy, safe, and convenient for you.
3. Changes to Your Booking
Travel plans sometimes evolve—so we stay flexible.
You can:
✅ Change dates
✅ Add or remove travellers
✅ Adjust experiences
We do not charge change fees, but hotels, cruises, or third-party suppliers may apply their own conditions. We always advocate on your behalf to minimize costs.
4. Cancellation Policy
We truly hope you don’t have to cancel—
but if you do, here’s how it works.
If you cancel your booking:
- More than 30 days before arrival: 50% deposit is non-refundable, but can be converted to travel credit for a future trip.
- 15–29 days before arrival: Up to 50% of the tour cost may be charged.
- 7–14 days before arrival: Up to 70% of the tour cost may be charged.
- Less than 7 days before arrival or no-show: Up to 100% of the tour cost may be charged.
We always try to reduce loss for you—especially in genuine emergencies.
Travel Credit Option
Instead of losing your deposit, you may:
✅ Apply it to a new date
✅ Transfer it to another tour
✅ Save it for future travel
(valid for 18 months)
5. If Chapi Tours Must Cancel
This is extremely rare.
But if it happens due to operational reasons (not force majeure), you will receive:
✅ A full refund, OR
✅ The option to move to another tour, OR
✅ A travel credit with added benefits
Your safety and fairness come first.
6. Force Majeure (Unforeseen Events)
If travel is affected by unexpected conditions such as:
- severe weather
- natural disaster
- border closures
- government restrictions
We will:
✅ offer alternative plans where possible
✅ provide credits if travel cannot proceed
We will always communicate clearly and compassionately.
7. No Hidden Fees—Ever
Your booking price includes all clearly listed services.
You will never face:
❌ surprise charges
❌ add-on taxes
❌ last-minute compulsory fees
Transparency is our promise.
8. Traveller Responsibilities
To ensure smooth processing, we ask that you:
✔ Provide accurate personal details
✔ Hold a valid passport
✔ Obtain appropriate visas where required
✔ Inform us of dietary or medical needs

9. Travel Insurance Recommendation
Travel insurance is highly recommended to protect against:
- medical emergencies
- trip interruption
- lost luggage
- weather disruptions
